Plumbing Dispatching Software: How to Handle Emergency Calls with a Small Team
How small plumbing businesses can triage and dispatch emergency calls, log every service call, and what dispatching software should cover.
Plumbing dispatching software decides who goes where, and in what order, when the phone rings. For a small plumbing team, its real job is to fit emergency calls (burst pipes, sewer backups, no hot water) into a day already full of scheduled work, without losing track of anyone or anything.
This guide covers how to triage and dispatch emergency plumbing calls with one to five plumbers, what a service call log should record, and which dispatch features are worth paying for. For the wider choice of platform, see our guide to plumbing business management software.
Why plumbing dispatch is harder than it looks
Most trades can schedule a week ahead. Plumbing can’t, because a share of the work arrives as emergencies that cause damage every hour they wait. A small team faces three conflicts every day:
- An emergency versus a promised appointment window.
- The nearest plumber versus the plumber with the right skills or parts.
- Paying overtime versus losing the call to a competitor.
Dispatch software doesn’t make these decisions for you, but it gives you the information to make them in seconds: who is where, what they’re doing, and what’s next.
How to manage emergency plumbing dispatch calls
A consistent triage process matters more than any software. Use the same questions on every call and record the answers.
Step 1: classify urgency
| Level | Examples | Target response |
|---|---|---|
| Emergency | Active leak that can’t be shut off, sewage backup, no water | Same hour or as soon as possible |
| Urgent | Leak contained at the shutoff, no hot water, single fixture clogged | Same day |
| Scheduled | Dripping faucet, fixture replacement, estimate request | Next available slot |
The target response times are your business decision; set them in advance and tell customers honestly when you can arrive.
Step 2: give safe instructions
For an active leak, tell the caller where the main shutoff usually is and to turn it off if they can do so safely. Record whether they did it. This one note changes the urgency level of many calls.
Step 3: choose the plumber
Check, in this order: who is free or finishing soon, who is closest, and who has the skills and parts for this call. A good dispatch board shows all three without phone calls.
Step 4: rebalance the rest of the day
Every emergency moves at least one scheduled job. Decide immediately which job moves, and notify that customer before the original window passes.
Step 5: close the loop
After the job, record the outcome, the time on site and any follow-up needed. Emergency jobs are the most likely to lead to a repair estimate or a callback.
Dispatch features that matter for small plumbing teams
| Feature | Why it matters for emergencies |
|---|---|
| Fast job creation from a call | The caller is stressed; you need address, problem and urgency in under a minute |
| Dispatch board with job status | Shows who is scheduled, en route, on site or finished |
| Drag-and-drop rescheduling | Moving a scheduled job takes seconds, not a phone tree |
| Customer notifications | Automatic “on the way” messages reduce calls to the office |
| Technician location | Helps choose the closest plumber (check your state’s rules on employee tracking and tell your team) |
| Mobile job details | The plumber sees the problem, history and notes before arrival |
| After-hours rules | Separate pricing or on-call assignments |
Plumbing business dispatch software: what three platforms publish
Checked on October 28, 2026, on each vendor’s official pricing page:
- Housecall Pro lists “Scheduling & dispatch” on all plans and “Employee GPS tracking” from Essentials (up to 5 users, $149/month billed annually or $189 monthly).
- Jobber lists scheduling, routing, online booking and a client hub. Its Connect plan for 5 users is $199 monthly or $105/month billed annually.
- ServiceTitan does not publish prices; its tiers require a quote, with per-technician pricing.
Use a demo to test one thing above all: insert an emergency at 10 a.m. into a full day for three plumbers and see how many clicks and messages it takes to rebalance the schedule.
Plumbing service call log template
Whether you use software or a spreadsheet, every call should be logged the same way. This template works in Excel or Google Sheets: copy the column headers into the first row.
| Column | What to record | Example (fictional) |
|---|---|---|
| Call ID | Unique number | C-0142 |
| Date and time received | When the call came in | Oct 12, 7:42 p.m. |
| Caller and address | Name, service address, phone | Customer 0142, North zone |
| Problem described | In the caller’s words | “Water coming through kitchen ceiling” |
| Shutoff closed? | Yes / No / Unknown | Yes |
| Urgency level | Emergency / Urgent / Scheduled | Urgent |
| Assigned plumber | Who goes | Plumber B |
| Promised arrival | Window given to the customer | 8:30–9:30 p.m. |
| Actual arrival | Time on site | 8:55 p.m. |
| Outcome | Fixed / Temporary repair / Estimate needed | Temporary repair |
| Follow-up | Next action and date | Estimate for repipe, Oct 14 |
| Invoice number | Links the call to billing | INV-2231 |
Reviewing this log once a month shows how many emergency calls you get, when they arrive, how often you meet promised windows and how many lead to larger jobs. Those numbers tell you whether you need an on-call rotation, a second truck or better software.
On-call and after-hours dispatch
Small teams often handle nights and weekends with a rotation. Decide in writing:
- Who is on call each night and weekend.
- Which calls justify an after-hours visit and which can wait until morning.
- The after-hours rate and how it’s explained to the caller.
- How the on-call plumber logs the job so the office sees it in the morning.
Software helps by routing after-hours calls to the right person and keeping the same job record, but the rules are yours.
For what customers typically pay for emergency and after-hours plumbing, and how to set an after-hours policy, see our guide to plumber rates.
When a spreadsheet stops being enough
A shared calendar plus the call log above can handle one or two plumbers. Move to dispatch software when emergencies regularly push scheduled customers past their windows without notice, when the office spends much of the day calling plumbers to check status, or when calls go missing between the phone and the schedule. For dispatch across several trades, see our field service scheduling guide.
Frequently asked questions
What’s the difference between scheduling and dispatching? Scheduling plans the week; dispatching manages the day as it changes. Small plumbing teams need both, usually in the same tool.
Should I charge more for emergency calls? Many plumbers have separate after-hours rates. Whatever you decide, state it clearly before the plumber is dispatched.
Do I need GPS tracking? It helps pick the closest plumber, but it isn’t essential for two trucks. If you use it, tell your team how and when it’s used, and check the rules in your state.
Can customers book emergencies online? Online booking is better for non-urgent work. Emergencies should reach a person by phone so you can triage them.
