HVAC service management software for maintenance agreements creates preventive visits automatically, tracks renewals and shows whether each agreement actually makes money. For a small HVAC contractor, agreements are the most predictable revenue in the business, but only if visits happen on time, renewals don’t slip and the price covers the work.

This guide covers how to run maintenance agreements, a renewal tracking template, a contract spreadsheet and a profitability calculation. It’s part of our HVAC series; start with our HVAC field service software guide for the full platform decision.

What an HVAC maintenance agreement includes

Agreements vary, but most small HVAC contractors include some of these:

ElementExample
Visits per yearOne heating and one cooling tune-up
Equipment coveredFurnace and AC, or heat pump
Member benefitsPriority scheduling, discount on repairs, no overtime fee
Term and renewal12 months, auto-renew or renewal reminder
PaymentAnnual upfront or monthly

Whatever you offer, write it down in a clear agreement and make sure your software can track each element.

HVAC maintenance agreement software for small contractors

The software needs to do four things well:

  1. Generate visits automatically from the agreement at the right season.
  2. Track renewals and remind you (and the customer) before expiry.
  3. Apply member benefits automatically, such as discounted repair prices.
  4. Report active agreements, visits due, visits done and renewal rate.

What vendors publish, checked October 28, 2026:

  • Housecall Pro lists “Recurring Service Plans” on its Max plan ($299/month billed annually or $329 monthly, 8 users). Its property profiles describe tracking equipment, service history for personalized reminders and equipment life.
  • ServiceTitan doesn’t publish prices; its tiers require a quote.
  • Jobber is a general home-service platform; check in a demo how it handles recurring maintenance visits and renewals for your agreements.

Ask in every demo: “Show me an agreement with two visits a year, sold in March, renewed the following March, with a 15% repair discount applied to a repair in July.”

HVAC preventive maintenance visit scheduling template

If agreements live in a spreadsheet, schedule visits from it every week:

Agreement IDCustomerEquipmentVisits/yearLast visitNext dueSeasonStatus

Next due = last visit + 182 days (two visits a year) or + 365 (one). Book cooling visits in spring and heating visits in fall, before peak demand. For more on scheduling, see our field service scheduling guide.

HVAC maintenance agreement renewal tracking template

Renewals are where agreements are lost, usually through silence rather than refusal.

Agreement IDCustomerStart dateEnd dateRenewal type (auto / manual)Reminder 60 daysReminder 30 daysRenewed?Reason if not

Routine:

  • Each month, filter agreements ending in the next 60 days.
  • Send the first reminder at 60 days and the second at 30 days.
  • Use the last visit as a renewal moment: the technician reviews what was done and asks.
  • Record the reason when someone doesn’t renew. If many cite price or missed visits, fix that first.

Renewal rate = agreements renewed ÷ agreements due for renewal in the period. Track it monthly.

A single contract sheet keeps the essentials together:

HVAC maintenance agreement profitability calculator

An agreement is profitable only if its price covers the visits, the discounts you give and a share of overhead. Calculate it per plan:

LineHypothetical standard plan
Annual price$240
Visits per year2
Labor per visit (including drive time)1.5 h
Loaded labor cost per hour$45
Labor cost per year2 × 1.5 × $45 = $135
Materials per year (filters, cleaners)$30
Average repair discounts given per member$25
Payment processing (assume 3%)$7.20
Contribution per agreement$42.80
Contribution margin17.8%

In this hypothetical case the plan covers direct costs but leaves little for overhead. Options: shorten visits with a checklist, adjust the price, or count the repair and replacement work agreements bring in (track it separately so you know whether it’s real). For general job margin checks, use our job cost calculator.

HVAC contract management software: what else to check

  • Billing: can it charge monthly agreements automatically and stop when an agreement ends?
  • Multiple units: can one agreement cover several systems at one property?
  • Commercial agreements: multi-site customers, purchase orders and different visit frequencies.
  • Export: can you export agreements and renewal dates if you change systems?

Frequently asked questions

Should agreements auto-renew? Auto-renewal improves retention but must be clear in the agreement and comply with the rules that apply to automatic renewals where you operate. Many small contractors send reminders and ask for confirmation instead.

Monthly or annual billing? Monthly billing lowers the entry price for customers; annual billing improves cash flow and cuts processing work. Some contractors offer both.

How many agreements before software is worth it? When a spreadsheet makes you miss visits or renewals, or when you have more than a few hundred agreements, automatic visit generation pays off quickly.

What’s the best time to sell agreements? After a repair or a tune-up, when the customer has just seen the value of maintenance.
